How do you set data entry standards?

How do you set data entry standards?
💡 Kısaca: Everyone writes the same information differently.

Everyone writes the same information differently. Phones sometimes with spaces, sometimes without the leading zero; city names sometimes abbreviated; dates day-month or month-day. Then no filter works properly. ✍️

Data entry standards look dull but are the first condition for data being usable. Without them, every clean-up is wasted.

Short answer: set one writing rule per field, use options instead of free text wherever possible, and put the rules on one page for everyone. 📜

FOUR

Four symptoms of no standard

BU BÖLÜMÜN ÖZETİ

  • Filters don’t work
  • Sorting breaks
  • Duplicates grow
  • Reports don’t add up

Familiar mess. 🔍

Filters don’t work

Searching one spelling of a city misses the abbreviations. 🔎

Sorting breaks

Mixed date formats; the latest record can’t be found. 📅

Duplicates grow

A differently typed phone adds the same person twice. 👯

Reports don’t add up

One city appears on three rows under three spellings. 📊

CORE

Core field rules

BU BÖLÜMÜN ÖZETİ

  • Phone
  • Name
  • Date
  • Address and city

Four examples. 📏

Phone

One format, area code included, no spaces or always the same spacing; no exceptions. 📞

Name

First and last name in separate fields, capitalised; titles in their own field. 🪪

Date

One date format; ideally entered with a date picker. 📅

Address and city

City and district chosen from a list; free text only for the street address. 🗺️

OPTIONS

Options instead of free text

BU BÖLÜMÜN ÖZETİ

  • Dropdowns
  • Checkboxes
  • Enforced formats
  • Default values

Four opportunities. 📑

Dropdowns

City, sector, source channel; chosen, not typed. 📋

Checkboxes

For yes/no; the “yes”, “Y”, “ok” mess ends. ☑️

Enforced formats

Email and phone fields reject wrong formats. 🛑

Default values

The most common option comes pre-filled; entry speeds up. ⚡

KEEPING

Keeping the standard alive

BU BÖLÜMÜN ÖZETİ

  • A one-page rulebook
  • Examples
  • A short monthly check
  • Build rules into the tool

Four habits. 🔄

A one-page rulebook

Each field’s rule on one page; given to new staff on day one. 📄

Examples

Right and wrong side by side; the rule is easier to remember. ✅

A short monthly check

Records breaking the rules are listed and fixed. 🗓️

Build rules into the tool

Every possible rule goes into the system, not human memory. ⚙️

FOUR

Four common mistakes

BU BÖLÜMÜN ÖZETİ

  • A long rulebook
  • Leaving old data
  • Free text everywhere
  • No owner

All four leave the standard on paper. 🚧

A long rulebook

Ten pages of rules go unread; one page is enough. 📚

Leaving old data

Rules apply to new records, but old data must be fixed once; see the duplicate records guide. 🧹

Free text everywhere

Free text is the enemy of standards. ✏️

No owner

A rule without an owner is forgotten. 👤

WHAT

What should I do today?

BU BÖLÜMÜN ÖZETİ

  • Step 1: pick the five most used fields
  • Step 2: write a rule for each
  • Step 3: turn two fields into options
  • If you want help

Three steps, one hour. 🪜

Step 1: pick the five most used fields

Phone, name, city, date, source; five fields. 📋

Step 2: write a rule for each

With right and wrong examples; one page. 📄

Step 3: turn two fields into options

City and source channel as dropdowns; this week. 📑

📝 Notes From the Field

When a business wanted a sales report by region, the city field showed many spellings of the same city. The field became a dropdown, old records were fixed once, and the phone field got an enforced format. The regional report returned a correct single row for the first time, and new duplicates fell noticeably.

📖 Short Glossary

⚡ Quick Summary

Data entry standards are the first condition for usable data. ✍️ Without them, filters, sorting and reports break and duplicates grow. Set one rule each for phone, name, date and city. Use options instead of free text, build rules into tools and give everyone a one-page rulebook.

Frequently Asked Questions

Sık Sorulan Sorular

Should I fix old records too?

Yes, once, in bulk. Otherwise new and old data stay in different formats and reports still won’t add up.

Won’t standards slow the team down?

Set up well with options and defaults, they speed things up. What slows teams is later clean-up and broken reports.

Who should set the rules?

The people who use the data most and those who need the reports, together. The rules need an owner who approves changes.
