When Should Clinic Digital Management Be Reviewed?
“We built it, it works — when do we need to go over it again? When should clinic digital management be reviewed?” Two answers, both necessary: calendar-based maintenance and event-based maintenance. Most clinics don’t do the first, and notice the second after the event has passed. 🗓️
This article is the maintenance schedule: fixed periods, triggering events and the annual major review.
The whole line: the digital management guide; dependency: the operations article.
Calendar-Based Maintenance
BU BÖLÜMÜN ÖZETİ
- Monthly — currency check
- Quarterly — direction
- Annual — major review
Three periods are enough: ⏱️
Monthly — currency check
Ten minutes’ work: are opening hours, fee range, team details and contact still right? The information that ages fastest here is hours and team — and wrong information is worse than no information.
Quarterly — direction
Half an hour: the five numbers are read, the question “which line rose, and why?” is asked and the next quarter’s work list is drawn up: the measurement article.
Annual — major review
An hour or two: asset inventory, access list, routine page and data clean-up. This once-a-year round fixes accumulated small drifts in one go.
Event-Based Maintenance
BU BÖLÜMÜN ÖZETİ
- 1 — Staff change
- 2 — Address, hours or phone change
- 3 — A new practitioner joining
- 4 — Supplier change
- 5 — Service or area change
- 6 — Noticing something is broken
Six situations to review at once, without waiting for the calendar: ⚡
1 — Staff change
When someone leaves or joins: access is updated, the departing person’s permissions are removed the same day. The most postponed and the riskiest maintenance.
2 — Address, hours or phone change
The change usually gets made in one place and left. Yet the list is known: site, business profile, social accounts, form and, if any, ads: the assets article.
3 — A new practitioner joining
Important in this vertical: the new practitioner’s correct title and area of work are added to every surface. Leaving it out affects both visibility and regulatory compliance.
4 — Supplier change
When a new agency or freelancer comes in: access is granted but ownership isn’t, and the old party’s permissions are closed.
5 — Service or area change
Starting online sessions, adding a new area of work, changing the fee structure: all of these must be reflected on the site and profile.
6 — Noticing something is broken
The form doesn’t work, the site won’t open, the map listing looks wrong. In this vertical a broken door means silent loss — and usually the client doesn’t say and the clinic doesn’t notice.
👉 Event-based maintenance doesn’t wait for the calendar.
The Annual Major Round
BU BÖLÜMÜN ÖZETİ
- Inventory and access
- The routine page
- Data clean-up
- The door test
- And content ageing
- And a warning
The checklist for the once-a-year round: 📋
Inventory and access
Are the eight assets still in the clinic’s name, is there anyone departed on the access list, are two administrators still on every account.
The routine page
Does the written routine match what actually happens? If not, decide whether the page adapts to reality or reality to the page: the routine article.
Data clean-up
Old form records, finished lists and unused archives are deleted; who has access is reviewed: the data article.
The door test
Fill in your own form, write to your own message channel, call your own number. This ten-minute test finds at least one fault every year.
And content ageing
The last item is specific to this vertical: fee ranges, team names and regulatory sentences in old articles age. In the annual round the five most-read articles are opened and updated — more productive than writing new ones.
And a warning
Reviewing doesn’t mean changing everything. A common mistake here is using the annual round as an excuse to redesign the site or open a new channel. The round is maintenance; what’s built and working isn’t touched. To inherit it built and district-locked: the parcel model.
📌 Field Notes
- Opening hours and team details are the fastest-ageing and latest-noticed information in clinics.
- Departed employees’ account permissions can stay open for months.
- Clinics running the annual door test find at least one broken form or wrong detail every round.
📖 Quick Glossary
- Calendar-based maintenance: Fixed monthly, quarterly and annual checks.
- Event-based maintenance: An update made at the moment of a change.
- Door test: Trying your own form, message and phone line.
